Job description
Our client is currently seeking a highly skilled and professional Co-ordinator / Planner Administrator to join their team. The successful candidate will have experience in a similar role and will be pivotal in ensuring the smooth operation of their service and validation processes. The role will involve liaising with customers, managing service calls, processing orders, and providing administrative support to the sales and service teams.
Key Responsibilities:

Customer Liaison & Service Management:
-
Scheduling service and validation appointments for hospital equipment with customers.
-
Managing day-to-day call-outs to HSE and private hospital groups.
-
Ensuring service engineers’ reports are checked, filed, and sent to customers in a timely manner.

Sending daily service jobs and validation reports to customers.
-

Administrative Support:
-
Processing daily service orders using Microsoft Dynamics.
-
Generating and maintaining monthly service reports.
-
Providing regular reporting processes in line with Key Performance Indicators (KPIs).

Supporting the incoming and outgoing correspondence, including managing post and booking couriers.

Sales and Service Team Support:
-
Assisting the field-based Sales and Service teams with administrative and scheduling needs.

Specific Job Requirements:

Key Skills and Experience:
-
Previous experience in a similar role, with scheduling and coordination responsibilities.
-
Proficiency in Microsoft Dynamics (or similar CRM system) is highly desirable.

Experience in customer service and the ability to convey company policies to external parties in a positive manner.

Strong communication skills and an ability to work collaboratively in a fast-paced environment.

Demonstrated leadership skills when working with internal and external stakeholders.

Competence in using Microsoft Office Suite (Word, Excel, Outlook).

Strong time management skills with an acute attention to detail.

Critical thinking and problem-solving abilities.

Ability to work under pressure, multitask, and prioritize tasks effectively.

Fluent in English (both written and spoken).
